saving and filtering messages in microsoft teams

In the fast-paced world of digital communication, staying organized and locating important information swiftly is crucial. Today, we’ll explore two features in Teams Chat designed to do just that – Bookmarking and Filtering messages. These tools can save you time and make your Teams experience more efficient. We’ll walk through the steps to use these features on desktop and mobile devices, and sprinkle in some handy tips for good measure.

Bookmarking Messages on Desktop:

Step 1: Open Microsoft Teams and navigate to the chat with the message you wish to bookmark.

Step 2: Hover over the message, and click the “More options” button (three dots).

Step 3: Select “Save this message from the dropdown menu.” A bookmark icon will appear next to the message, indicating it’s saved.

Bookmarking Messages on Mobile:

Step 1: Open the Microsoft Teams app and navigate to the chat with the message you want to bookmark.

Step 2: Press the message until a menu appears, then select “Save.” The message will now be bookmarked.

Filtering Messages on Desktop and Mobile:

Step 1: In both the desktop and mobile versions, navigate to the “Activity” tab on the left-hand menu.

Step 2: Click or tap on the “Filter” icon at the top right of the “Activity” tab.

Step 3: A search bar will appear. Type your search terms to filter through your messages. You can filter by keyword, person, or type of activity (like mentions or reactions).

Extra Tips and Tricks:

  1. Accessing Bookmarked Messages: To view your saved messages, click on your profile picture in the top right corner and select “Saved” on desktop, or tap on the three-bar menu and select “Saved” on mobile.
  2. Unbookmarking Messages: If you no longer need a message bookmarked, you can unbookmark it by repeating the bookmarking process. The “Save this message” option will now be “Unsave this message” on desktop, or you can deselect “Save” on mobile.
  3. Using @mentions with Filters: If you want a message where a specific person mentioned you, you can combine the filter and @mention features. Type “@[person’s name]” in the filter search bar.
  4. Quick Keyword Search: For a quick keyword search without filtering other activities, use the search bar at the top of Teams.

Bookmarking and filtering messages are small but powerful tools in Microsoft Teams Chat that can significantly streamline your communication and collaboration. By learning to use these features effectively, you can save time, stay organized, and focus on what matters most in your team interactions. Happy Teams-ing!
